ASSISTANT, Production Management

– Answer VP’s phone, roll calls, open mail, maintain VP’s calendar and make VP’s travel arrangements.
– Submit VP’s T&E’s
– Update and maintain Production Management shoot schedule in VP’s office
– Maintain and reconcile Petty Cash
– Reconcile invoices
– Order business cards MTV Production Management and order all memo pads for MTV and VH1.
– Assist with general departmental needs.
– Track Beeper bills, vacation and sick days.
– Update and maintain bi-weekly Production Management Teamlist (MTV/VH1) West Coast.
– Track MTV Staff timesheets/payroll
– Track all MTV 6th/7th day worked. Generate memo for 6th/7th days payment. cc: VP
– Distribute MTV staff paychecks and T&E checks
– Schedule quarterly production operations meeting, MTV Team Leader meetings (monthly) and departmental staff meetings (quarterly)
– Maintain the following records: corporate and personnel files, MTV/VH1 Close books, Headquarter Actuals.
– Track all departmental expenses.
– 1 to 2 years previous Administrative Assistant experience- preferably in production or development industry
– Excellent organizational skills and ability to anticipate problems
– Ideal candidate will possess initiative, be diplomatic and be flexible to a changing fast paced environment and be a team player
– Computer proficiency at the following applications: Microsoft Word; Microsoft Powerpoint and Outlook.
– Expert knowledge of Microsoft Excel and working knowledge of Calendar Creator
– Production Management background and basic production knowledge is helpful
– Ability to handle highly sensitive information. Confidentiality a must
– College degree is required
– Some overtime may be required for this position
